Tools and AI automation in communication: configuration, repetitive steps and working with IBP
A communication process has steps that repeat every week: receiving a request, an approval reminder, preparing variants, a report. Tools and automation take over these steps, and AI helps where something needs to be read, organised or drafted. The team stays with the decisions.
What is worth automating in communication?
Automate what the team does a hundred times a month in the same way. Leave the rest to people.
Not everything is worth automating, and some things cannot be. Good candidates are steps with a clear beginning and end, which repeat regularly and require no judgement. In a communication process these are most often:
- request intake: a brief enters the queue with a number, a person and a deadline,
- reminders and deadlines: who has to approve, by when, what is late,
- variants and versions: formats, languages, first drafts with AI,
- organising: classifying requests, tagging materials, updating the library,
- reports: data from tools gathered into one view without manual copying.
How do we implement tools and automation?
- We choose the steps with the biggest impact. Based on the process audit we identify what takes the most time and can be described. We start with one or two steps.
- We configure the tools. We set up the work management tool for the company's process: statuses, assignments, deadlines, notifications. Usually the one the company already uses.
- We automate and plug in AI. We connect the steps that currently require manual handover and add AI where something needs to be read, organised or drafted.
- We train the team and measure. We show how to work in the new setup and, after a month, check how much time the team has recovered and what else is worth automating.
What do you get?
- a configured work management tool, tailored to the process,
- automation of selected steps, with monitoring and error handling,
- AI where it speeds up work, with a clear scope and control,
- a measurement of time recovered and a plan for the next steps.
When is it worth implementing automation?
- when the team spends time reminding, copying and retyping,
- when the process is already in order and can be described step by step,
- when the number of materials grows but the team does not,
- when the company wants to use AI but does not know where to start without risk.
Frequently asked questions
Won't AI make a mistake that reaches the customer?
No, because AI does not publish. It prepares drafts, organises and suggests, and every result passes through a person before it goes any further. That is how we design every automation.
When does Intelligent Business Point come in?
When automation goes beyond communication and marketing. IBP streamlines the processes of the whole company and advises the board on what to implement and in what order. We implement the part concerning communication.
Do we have to change tools?
Usually not. We configure what the company has. We propose a change only when the current tool does not allow automation or integrations.
